Lonavity Quote System Privacy Policy

LONAVITY QUOTE SYSTEM PRIVACY POLICY

  1. PURPOSE AND SCOPE

This Privacy Policy describes how Lonavity collects, accesses, uses, stores, and protects information through the Lonavity Quote System.

The Lonavity Quote System is intended for Lonavity’s internal business operations and authorized users. It helps prepare quotations and transfer approved quotation information to QuickBooks Online.

  1. INFORMATION THE APPLICATION MAY ACCESS

When an authorized user connects the Lonavity Quote System to QuickBooks Online, the application may access or process information such as:

• QuickBooks company name and company identifier;
• customer names, business names, email addresses, telephone numbers, and billing information;
• products, services, descriptions, quantities, prices, labour charges, taxes, discounts, and estimate details;
• estimate identifiers and synchronization status;
• accounting configuration information needed to create estimates, such as product, service, and tax-code identifiers;
• OAuth authorization tokens required to maintain the QuickBooks connection; and
• technical information needed for security, troubleshooting, and operation of the application.

The application does not request or store a user’s QuickBooks password. Authentication is handled through Intuit’s OAuth authorization process.

  1. HOW INFORMATION IS USED

Information is used only as necessary to:

• create, calculate, store, and manage quotations;
• create estimates in QuickBooks Online;
• prevent duplicate estimate submissions;
• maintain and verify the connection with QuickBooks Online;
• retrieve product, customer, service, and tax information needed for quotations;
• diagnose errors and maintain the reliability and security of the application;
• comply with applicable accounting, tax, legal, and recordkeeping obligations; and
• respond to authorized support or privacy requests.

QuickBooks data is not sold, rented, used for behavioural advertising, or used to build advertising profiles.

  1. THIRD-PARTY SERVICES

The Lonavity Quote System may exchange information with services required for its operation, including:

• Intuit and QuickBooks Online for accounting integration;
• Shopify for product and pricing information;
• Cloudflare for DNS, encrypted connectivity, and network security; and
• infrastructure, network, backup, and hosting providers used by Lonavity.

These providers process information under their own privacy policies and terms.

Information may be processed in Canada or in other countries where these service providers operate.

  1. SHARING AND DISCLOSURE

Lonavity does not sell personal information.

Information may be disclosed only:

• to service providers needed to operate the application;
• when authorized by the affected business or individual;
• when required by law, court order, regulatory obligation, or legitimate legal process;
• to investigate fraud, abuse, security incidents, or unauthorized access; or
• during a business transfer, subject to appropriate confidentiality and privacy protections.

  1. DATA RETENTION AND DELETION

Quotation and accounting records may be retained for as long as reasonably necessary to operate the business, maintain accurate financial records, meet tax and legal obligations, resolve disputes, and enforce agreements.

QuickBooks authorization tokens are retained only while the QuickBooks connection is active or while required to provide the integration. Tokens may be revoked or deleted when the connection is disconnected or is no longer required.

Information that is no longer required will be deleted, anonymized, or securely retained when continued storage is required by law.

An authorized user may request access, correction, export, or deletion of personal information. Some records may need to be retained when required for accounting, taxation, security, fraud prevention, or legal compliance.

  1. SECURITY

Lonavity uses reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, disclosure, loss, or misuse.

Information is transmitted through encrypted HTTPS connections when communicating over the public Internet. Access to the application, its servers, databases, credentials, and integration settings is restricted to authorized persons.

No electronic system can be guaranteed to be completely secure. Suspected privacy or security incidents should be reported promptly using the contact information below.

  1. COOKIES AND SESSION INFORMATION

The application may use essential cookies or temporary session information needed for authentication, security, and normal application operation.

The application does not use third-party advertising cookies.

  1. USER CHOICES

An authorized QuickBooks administrator may disconnect the application or revoke its QuickBooks access through the applicable Intuit or QuickBooks account settings.

Privacy requests may be submitted using the contact information published on the Lonavity website.

  1. CHANGES TO THIS POLICY

This Privacy Policy may be updated when the application, legal requirements, or business practices change.

The revised policy will be posted publicly with an updated effective date.
